Gusto vs Rippling: prices, modules and which one fits

Gusto lists its prices: $49 to $180 a month plus $6 to $22 per employee (Gusto pricing page, checked October 16, 2026). Rippling does not. Its pricing FAQ says only that plans "start at $8 per employee per month, with a monthly base fee," and it gives no base amount. For a 10-person team, Gusto Simple is $109 a month; Rippling's payroll floor is $80 in per-employee fees plus a base fee that Forbes Advisor reported as $35 from a quote (January 2026), and every added module raises it.

Gusto fits a US-only small business that wants a known bill and an easy exit. Rippling fits a growing company that wants payroll, HR, IT, devices and overseas hiring in one system and will negotiate a quote to get it. On our published scores, Gusto (69/100) ranks above Rippling (21/100).

These two are built for different jobs. Gusto is payroll first, with HR tools stacked on top in its Plus and Premium plans. Rippling is an employee platform where payroll is one module next to HR, IT, device management, PEO, global payroll and employer of record services, each priced per employee. Our Gusto pricing page lists every Gusto fee; our Rippling pricing guide covers what Rippling quotes and what third parties have seen.

Monthly cost for 5, 10 and 25 employees

Rippling's $8 is a floor. Its FAQ does not tie the figure to a product, so the estimate below is a lower bound for payroll alone. The $35 base fee comes from Forbes Advisor (January 2026), as cited in Gusto's competitor guide (August 2, 2026); it is a quote one buyer received, not a Rippling list price. Treat the Rippling column as a labeled estimate.

5 employees$49 + (5 x $6) = $79$80 + (5 x $12) = $140(5 x $8) = $40, plus base; with a $35 base: about $75

25 employees$49 + (25 x $6) = $199$80 + (25 x $12) = $380(25 x $8) = $200, plus base; with a $35 base: about $235

Where the two diverge:

  • Modules. Rippling sells HR, time, IT, devices and benefits as separate modules, each adding per-employee cost. The most common Rippling complaint on Capterra (September 2025 to August 2026) is that modular pricing is hard to budget. Ask for the full quote with every module you plan to use in year two, not just year one.
  • Startups. Rippling offers eligible VC-backed startups six months free. Gusto lists no free period for its base plans.
  • States. Gusto Simple covers one state; a second state means Plus. Gusto will register the new state accounts for you. Rippling does not say it registers state accounts, and one Capterra reviewer (May 11, 2026) had to do it themselves.

Payroll software is a small slice of what an employee costs. Our payroll cost guide adds taxes, and the employee cost calculator runs the numbers for your state.

Choose Gusto if

  • Everyone you employ is in the US and you want a monthly bill you can predict from the pricing page.
  • You have fewer than a few dozen staff and do not need device management or IT tools.
  • You want to be able to cancel online the same day, with no notice period.
  • You want help opening tax accounts in each new state.

Choose Rippling if

  • You want payroll, HR, app access, laptops and devices managed from one employee record.
  • You hire abroad. Rippling runs global payroll in "185+ countries" through its own entities and sells EOR; a third-party reference puts EOR at $499 per employee per month (Gusto guide, August 2026). See our Rippling EOR review.
  • You may want a PEO later without changing systems; see our Rippling PEO review.
  • You are a VC-backed startup that qualifies for six months free.
  • You are prepared to negotiate a quote and read the contract for term length, since Rippling publishes neither.

Tax guarantees and exit terms

Gusto publishes both. Its payroll terms promise to pay penalties "directly arising from" a failure to remit taxes on time, though interest is not named and you must forward agency notices at least 30 days before the response date. Its help center explains cancellation: self-serve, effective immediately, full month charged after the 5th, and $100 federal plus $100 per state plus $5 per form if Gusto files your final returns.

Rippling publishes neither on the pages we could read; its terms page returned an error on October 16, 2026. Before you sign, ask Rippling for, in writing: the contract term and renewal date, the notice needed to cancel, any implementation fee, what it pays if it files a tax return late or wrong, and how long you keep access to W-2s and payroll reports after leaving.

Moving from one to the other

Both directions carry the same data: employee profiles, pay rates, deductions, benefits elections, year-to-date earnings and taxes, and your federal and state account numbers. The work is in timing and records.

Gusto to Rippling

  • Run your last Gusto payroll, then cancel before the 5th of the next month to avoid another full month's charge.
  • Download registers, tax filings and W-2s even though Gusto keeps read-only admin access.
  • Ask Rippling who registers any new state accounts. If it is you, register before your first payroll in that state.

Rippling to Gusto

  • Read your Rippling order form for the term end date and notice period. Leaving mid-term may cost the rest of the term; Rippling does not publish its policy.
  • Export payroll history, tax filings and the I-9 and document files stored in the HR module before access ends.
  • If you used Rippling PEO, leaving it also changes your health plan and 401(k). Plan the switch for your benefits renewal date.

Mid-year: load each employee's year-to-date wages into the new system so Social Security withholding stops at the 2026 wage base of $184,500. Switch on a quarter start if you can; Q4 2026 runs to December 31 and its Form 941 is due February 1, 2027. Get it in writing which provider files the quarter's 941, state wage reports and the 2026 W-2s. A missed quarterly report can raise your state unemployment rate; see 2026 SUTA rates by state.

Documented complaints about each

Gusto

  • Penalties left with the customer after Gusto tax errors (Trustpilot, October 2 and September 22, 2026).
  • Multi-state errors when employees moved (June 10 and October 6, 2026).
  • Records held after canceling and a hard cancellation (September 17 and June 3, 2026).
  • Many calls to resolve one issue (September 21, 2026).

Rippling

  • Costs that climb with each module and each new hire, hard to budget (Capterra reviews, September 2025 to August 2026; also a Hacker News thread).
  • Slow support on complex issues, and only administrators can reach live support.
  • State tax registrations left to the client (May 11, 2026).
  • An employer health fund contribution shown twice (December 29, 2025).

Frequently asked questions

Is Rippling more expensive than Gusto?
Usually, once you add modules. Gusto Simple costs $49 a month plus $6 per employee, or $109 for 10 people (Gusto pricing page, checked October 16, 2026). Rippling says plans start at $8 per employee per month plus an unstated base fee; with the $35 base Forbes Advisor reported (January 2026), payroll alone for 10 people is about $115, before HR, IT or benefits modules.
Does Rippling publish its prices?
No. Rippling's pricing page (checked October 16, 2026) asks you to contact sales for a custom quote. Its FAQ says plans start at $8 per employee per month with a monthly base fee, without naming the product or the base amount.
Can Gusto pay employees in other countries?
Gusto lists global contractor payments as an add-on at $5 per payment, with FX rates that "may vary," but no employer of record or overseas employee payroll on its pricing page (checked October 16, 2026). Rippling runs global payroll in 185+ countries and sells EOR, priced by quote.
Which is better for a startup, Gusto or Rippling?
Rippling offers eligible VC-backed startups six months free and adds IT and device tools, which suits a fast-hiring company. Gusto has no free period on base plans but publishes its $49 plus $6 per person entry price and cancels online, which suits a small team that wants to keep costs fixed.
Who registers state payroll tax accounts, Gusto or Rippling?
Gusto does, if you ask: one-time registration through its partner Middesk (price varies by state) or its Business Compliance add-on at $85 per state per month. Rippling does not state that it registers accounts, and a Capterra reviewer (May 11, 2026) said they had to register with state agencies themselves.
How do I cancel Rippling?
Rippling does not publish its cancellation terms, and its terms of service page would not load on October 16, 2026. Check your order form for the term end date and notice period, and export payroll history, tax filings and W-2s before you give notice.
