Free payroll software: what is actually free in 2026

We may earn a commission when you sign up through some links on this page. Commissions never change our scores or the order of our lists. How we make money.

No payroll provider in our October 16, 2026 price check files and pays your taxes for free. Low-cost plans that do include Square Payroll at $35 a month plus $6 per person and Patriot Full Service at $37 plus $5 per worker, according to their pricing pages.

Free payroll software exists, but it calculates pay and leaves the deposits, filings and penalties to you. Wave is not free for payroll: its accounting is free, and payroll is $40 plus $6 per employee.

Free payroll software is a payroll calculator or tool with no monthly fee; in almost every case you remain responsible for depositing payroll taxes and filing federal and state returns yourself.

What free payroll software really means

Free full service
None foundin our Oct 16, 2026 price check
Full service from
$35 + $6Square; SurePayroll lists $29 or $39 + $7
Cheapest software
$17 + $4Patriot Basic; you file
Wave Payroll
$40 + $6Wave accounting is free; payroll is not

When a payroll product says "free", it is one of three things:

  1. A calculation tool. It works out gross pay, withholding and net pay. You still deposit the taxes and file every federal and state form. Payroll4Free and ExcelPayroll fall here, according to Fit Small Business (July 2, 2026).
  2. A free product with paid payroll. Wave accounting and Homebase scheduling have free tiers. Their payroll costs money.
  3. A free period on a paid service. ADP, Paychex, SurePayroll, Homebase and Patriot all run free-month offers. Most have conditions, and some can be clawed back.

The part that costs money is tax filing. With a free tool, a missed deposit or late W-2 is your penalty, not the software maker's. Many paid full-service plans publish a tax filing guarantee, though each has exclusions, and some providers (Paychex, Justworks, Homebase) publish no guarantee terms at all. We compare them on our best payroll software page.

Free payroll options compared

Nothing in our research offers free payroll that also files and pays your taxes for W-2 employees. Here is what each "free" option actually covers.

The cheapest payroll that files your taxes

If free does not cover what you need, these are the lowest published prices for full-service payroll, where the provider deposits and files federal and state payroll taxes. They are ordered by our score out of 100, which weighs price alongside tax guarantees, exit terms, support and complaints (how we score).

Scores: HRPricing payroll scores (Oct 17, 2026). Math: base + per person x headcount. Published prices, checked Oct 16, 2026. Promotions and add-ons not included. SurePayroll's page also shows a $29 base, which would be $10 less. Roll by ADP is a separate ADP app and is not in our scored set.

For one person, Square ($41) is the cheapest clear price. SurePayroll could be lower ($36) if the $29 base in its calculator is the real one, but the same page says "Starting at $39/month", so get it in writing. Patriot Full Service is cheapest at five or more people, but adds $12 a month for each extra state. For a full price list including add-ons and year-end fees, see how much payroll services cost. For one to five people, compare plans on payroll for very small teams.

What doing payroll by hand involves

Doing payroll yourself with a spreadsheet or a free calculator costs $0 in software. This is the work it leaves you, using the IRS 2026 schedule.

Doing 2026 payroll by hand: what you file and when
TaskRule or deadline (IRS)
Federal tax depositsMonthly depositor (tax of $50,000 or less in the lookback period): due by the 15th of the next month. Over $50,000: semiweekly. $100,000 or more on any day: deposit by the next business day. Under $2,500 for the quarter: may pay with Form 941.
Form 941 (quarterly)Q3 2026 due Nov 2, 2026; Q4 2026 due Feb 1, 2027; Q1 2027 due Apr 30, 2027. 10 extra days if every deposit was on time.
Form 940 (FUTA, yearly)2026 return due Feb 1, 2027 (Feb 10, 2027 if all FUTA tax was deposited on time). FUTA deposit due when the quarterly liability passes $500.
Forms W-2 and W-3Due Feb 1, 2027 to employees and the Social Security Administration. No automatic extension. E-file required at 10 or more information returns in total.
Form 1099-NECDue Feb 1, 2027. For payments made in 2026 the reporting threshold is $2,000 (it was $600).
New hire reportsTo your state within 20 days of hire at the latest; several states set shorter deadlines.
State taxesState income tax withholding returns and state unemployment wage reports on your state's schedule.

Sources: IRS employment tax due dates (last reviewed Apr 21, 2026), Topic 757 (Oct 14, 2026), Form W-2/W-3 and 1099 instructions (2026), Pub 15 (2026); federal new hire reporting rule (42 USC 653a). Checked Oct 16, 2026.

The IRS charges penalties for late deposits and for late or missing W-2s; the rates are in IRS Publication 15. State mistakes cost money too. One employer on Hacker News (August 2026) said missed state wage reports after a payroll switch sent their unemployment insurance rate "from 0.8% to 12.75%". Check your state's rate on our 2026 SUTA rates by state table.

Your real cost of free

  • Software: $0 (or $17 + $4 per worker for Patriot Basic, which does the math)
  • Taxes: the same as any other option. Payroll software never lowers the tax itself.
  • Your time: every pay run, 16 or more federal deadlines a year (12 monthly deposits, 4 quarterly 941s), plus year-end forms and state reports.
  • Risk: penalties and interest on any late or wrong filing are yours.

Free payroll for nonprofits, churches and household employers

None of the providers in our research publishes a free or discounted payroll plan for nonprofits. The prices on this page apply to them too. Nonprofits and churches have their own payroll tax rules; see nonprofit payroll and church payroll.

If you employ a nanny or other household worker, you owe Social Security and Medicare once you pay one worker $3,000 or more in cash wages in 2026, and FUTA once you pay $1,000 in any quarter (IRS Publication 926). You report on Schedule H with your tax return. SurePayroll's Nanny and Household plan is $39 a month including one employee (the page also shows $45). See nanny payroll options.

Free payroll calculators and templates

A free payroll template or calculator is fine for checking numbers. Make sure it tracks each pay date, gross pay, federal and state withholding, the 6.2% Social Security and 1.45% Medicare shares for both employee and employer, and every deposit you make. The 2026 Social Security wage base is $184,500 per employee; Medicare has no cap.

Our 2026 payroll tax rates page lists the federal figures, and how payroll taxes work explains who pays which share.

Who should not use free payroll

  • Anyone with staff in two or more states. Each state means its own registration, withholding and unemployment account.
  • Anyone filing 10 or more W-2s and 1099s in total. The IRS requires e-filing at that point, which most spreadsheets cannot do.
  • Employers who have already missed a deposit. A full-service plan with a published tax guarantee can cost less than repeat penalties.
  • Restaurants with tipped staff. Tip credits are easy to get wrong by hand: the federal minimum cash wage is $2.13 an hour with a tip credit of up to $5.12 (DOL), and many states set their own rules. See restaurant payroll.

Bottom line: there is no free full-service payroll in our research. If you have one or two employees in one state and time to file, a free calculator or Patriot Basic ($17 + $4) works. Otherwise, low-cost plans that file for you include Square ($35 + $6) and Patriot Full Service ($37 + $5), per pricing pages checked October 16, 2026.

Frequently asked questions

Is there any truly free payroll software?
Not for full-service payroll. In our check of payroll pricing pages on October 16, 2026, no provider files and pays taxes for W-2 employees for free. Is Wave payroll free?
No. Wave's accounting software is free, but Wave Payroll costs $40 a month plus $6 per active employee and $6 per contractor paid, for sign-ups after April 2, 2025 (Wave payroll page, checked October 16, 2026). The first 30 days after your first payroll are commitment-free.
Is Gusto free?

Both prices are from the providers' pricing pages, checked October 16, 2026.
Does free payroll software file my payroll taxes?
Usually not. Free calculation tools leave deposits and filings to you. ExcelPayroll, for example, does no filing and charges $50 per state tax table update, according to Fit Small Business (July 2, 2026). Under the IRS 2026 schedule you then file Form 941 quarterly, Form 940 yearly and W-2s by February 1, 2027.
Is there free payroll software for nonprofits?
None of the payroll providers in our October 16, 2026 price check publishes a free or discounted nonprofit plan. Nonprofits pay the same published prices, starting at $17 plus $4 per worker for software where you file (Patriot Basic) or $35 plus $6 for full service (Square).
Which payroll companies offer free months right now?
As of October 16, 2026: Paychex waives payroll fees through April 2027 for new clients signing a one-year agreement by October 31, 2026; ADP RUN gives 3 free months (credited on months 4 to 6) to clients who start by October 22, 2026; SurePayroll and Homebase advertise 6 free months; Patriot gives 30 days free then 50% off for 3 months.
