Gusto vs Paychex: published prices against a quote-only provider
We may earn a commission when you sign up through some links on this page. Commissions never change our scores or the order of our lists. How we make money.
Gusto publishes its price, $49 to $180 a month plus $6 to $22 per employee (gusto.com, checked October 16, 2026). Paychex does not: its Basic, Foundations, Advanced and Complete packages all say "Request Pricing." The $39 plus $5 per employee figure on review sites is the retired Paychex Flex Essentials plan, so the only way to know what Paychex costs you is a quote.
Gusto is the better fit for a small team that wants to see the bill up front, register new states without paperwork and cancel online. Paychex fits a business that wants one vendor for payroll, 401(k), HR and possibly a PEO, can use the "Do Not Pay Until April 2027" promotion, and will check every invoice for add-on fees. On our published scores, Gusto (69/100) ranks above Paychex Flex (25/100).

Gusto is a self-serve platform priced on its website. Paychex is a sales-led provider with tiered packages and a menu of add-on services. That shapes everything else: how you buy, how fees grow, and how you leave. See every Gusto fee on our Gusto pricing page and every Paychex estimate, with dates, on our Paychex pricing page.

You register in each state and give Paychex the agency ID numbers (Paychex Middesk Service is a paid helper) |
| Contract terms | Month-to-month, no setup fee listed. Business Compliance add-on carries a 12-month commitment per state | Set by your service agreement. The Oct 2026 promo needs a one-year agreement and Paychex can claw back the free months if you leave early. Setup fees exist; amount not published |

Payroll cost for 5, 10 and 25 employees
Gusto's columns are list prices. The Paychex column is the old Flex Essentials price, which Fit Small Business still listed in May 2026 and which Gusto's guide (August 2, 2026) calls historical and "not a verified current offer." We show it because it is the only per-employee figure anyone publishes, not because you can buy it.
| Team | Gusto Simple | Gusto Plus | Paychex (retired Flex Essentials, estimate) |
|---|---|---|---|
| 5 employees | $49 + (5 x $6) = $79 | $80 + (5 x $12) = $140 | $39 + (5 x $5) = $64 |
| 10 employees | $49 + (10 x $6) = $109 | $80 + (10 x $12) = $200 | $39 + (10 x $5) = $89 |
| 25 employees | $49 + (25 x $6) = $199 | $80 + (25 x $12) = $380 | $39 + (25 x $5) = $164 |
Sources: Gusto pricing page, checked Oct 16, 2026. Paychex figure is a third-party, historical estimate (Fit Small Business, May 29, 2026), not a Paychex quote. Payroll fees only.
Why the Paychex number is likely low for a real quote:
- The only buyer-reported total we found is a median of about $10,800 a year from four reports (Costbench, data checked June 14, 2026). That sample is too small to rely on, but it is far above $89 a month.
- Buyers report one-time fees: a $2,340 setup fee plus $160 a month (ConsumerAffairs, November 14, 2025) and a $2,000 setup fee with a $1,500 cancellation fee (Trustpilot, May 5, 2026).
- The promotion waives the payroll component only. Setup, delivery, 401(k), and time and attendance fees are still billed.
Gusto's extras are published: next-day pay on Simple is $15 a month plus $3 per person, Priority Support is $30 plus $3, and Business Compliance is $85 per state per month. For the taxes on top of either bill, use our payroll cost guide or the employee cost calculator.
The Paychex promotion against Gusto's month-to-month terms
Paychex's "Do Not Pay Until April 2027" runs October 12 to October 31, 2026, unless extended. New clients with 1 to 250 employees on Foundations, Advanced, Complete or certain Flex bundles get payroll fees waived through April 2027, up to six months. Basic is not named. You must sign a one-year agreement, and if you end it early Paychex "will be entitled to recover the value of any free months."
Gusto lists no promotion or free trial for its base plans, and no contract. You can leave any month. Six free months is real money, but only if you are sure you will stay a full year.
Choose Gusto if
- You want to know the price without a sales call.
- You want a written tax penalty promise. Gusto's payroll terms publish one; we found none from Paychex.
- You hire in new states and want Gusto to open the tax accounts.
- You may want to leave within a year.

- You have up to 250 employees and can start payroll in the October 2026 window to get up to six free months.

Moving payroll between Gusto and Paychex
What carries over: employee profiles, pay rates, deductions, year-to-date wages and withholding, and your federal and state account numbers. What needs care: notice periods, retirement plans and the forms you need for the year.
From Paychex to Gusto
- Find your service agreement. Paychex publishes no notice period, so the agreement controls. If you took a promotion, check the one-year clock.
- Ask for a written cancellation confirmation and watch your bank account. Reviewers report Paychex bills months after canceling (Trustpilot, October 13, 2026; ConsumerAffairs, three and nine months later).
- If Paychex runs your 401(k), plan its move separately. One reviewer paid over $1,800 to shut down an unused plan (ConsumerAffairs, September 15, 2025).
- Get W-2s and payroll reports. Per Gusto's guide, Paychex prints and ships W-2s for former clients rather than offering online access.
From Gusto to Paychex
- Run the last Gusto payroll and cancel before the 5th of the month to avoid a full extra month.
- Decide who files year-end forms. Gusto charges $100 federal, $100 per state and $5 per W-2 or 1099 to file your finals.
- Collect your state ID numbers; Paychex will ask for them.
Mid-year: a quarter start is the cleanest date. Load year-to-date totals so Social Security withholding stops at the 2026 wage base of $184,500. Settle in writing who files the Q4 2026 Form 941 and the 2026 W-2s, both due February 1, 2027. Missed state wage reports after a switch can raise your unemployment rate, as one owner found when theirs went from 0.8% to 12.75% (Hacker News, August 2026). See SUTA rates by state.
What reviewers complain about
Gusto
- Tax errors with penalties left to the customer (Trustpilot, October 2 and September 22, 2026).
- Payroll blocked over funding and the fee not waived (September 27, 2026).
- Records held after leaving (September 17, 2026).
- Support that took "at least five calls" to resolve an issue (September 21, 2026).

Paychex
- Fees for nearly every action (Trustpilot, October 5, 2026) and a bill that rose from about $57 to almost $400 a month after a sales call (ConsumerAffairs, August 12, 2025).
- A 401(k) activated without approval (ConsumerAffairs, May 2, 2025).
- Billing after cancellation (Trustpilot, October 13, 2026).
- A payroll error that led to an IRS notice with unpaid interest (Trustpilot, October 6, 2026).
